Adding a creditor while encoding an invoice

Depending on the financial package your organization uses, you may have the option to add a new creditor during the coding process. If you don't see this option (the blue plus sign) next to the 'Creditor' field during coding, it could be because your financial software doesn't support this feature. Your Spend Cloud environment's administrator can inquire about this with our Support department. It's also possible that you don't have sufficient permissions to add creditors. In that case, you should contact the administrator of the Spend Cloud environment.

Adding a New Creditor

When you add an invoice and the creditor is not in the system, you can create a new one within the 'Coding' screen by clicking on the plus sign next to the creditor field.



You'll be redirected to the 'Add Relation' screen. You can enter part of the trading name in the search selection and then click 'Select'.



The search results from the Chamber of Commerce are displayed. In this example, the bottom result is selected, and 'Continue' is clicked.



The data from the Chamber of Commerce registration is automatically populated. At a minimum, an IBAN must be entered to save the relationship.



For the financial system Twinfield, the number field must always be filled. The structure of this specific number can be modified in the division settings in Twinfield.
In the case of Visma.net Financials, the highest creditor number is determined, and then +1 is added.

The relationship is now created but needs to be approved. While waiting for approval, you can save the coded invoice, but it cannot be sent for review until the creditor is approved.
