Adding delivery addresses
Via Application Management / Procurement / Delivery Addresses, you will enter the menu section where you can manage the delivery addresses. Delivery addresses listed in this overview can then be selected when creating a purchase order request.
By clicking the 'Add' button at the top of the overview, you can add a new delivery address.
The name you enter in the 'Name' field will not be displayed by default on the purchase order request. If this is desired, you can select 'Yes' under 'Show name on PDF'.
From the overview, you can view, delete, and edit a delivery address.
Once all mandatory fields, indicated by the asterisk, are filled out, you can click 'Save' at the top.
Some suppliers do not work with delivery addresses but use location codes instead. Based on the location code, the supplier knows to which address the order should be delivered. By entering a location code here, it will be included in the purchase order request. You can specify multiple location codes by clicking the magnifying glass icon next to the delivery address in the overview.
Importing Delivery Addresses
Instead of creating delivery addresses one by one, you can also add multiple delivery addresses at once. You can do this using the 'Import Delivery Addresses' button. If no import definition is available, please contact our Support department.
By clicking the 'Import Delivery Addresses per Supplier' button, you can import a document per supplier, specifying the corresponding location code for each delivery address. This way, you won't need to manually add the location codes later.
Why can't an employee choose a delivery address?
By default, an employee can choose from all delivery addresses when creating a purchase order request. When the employee clicks on their name at the top right of the Spend Cloud and then selects 'My Profile', they will access a menu where they can set personal preferences, including those for creating a purchase order request. Under 'My Delivery Addresses', the employee can check addresses they want to be able to select when creating an order request. This is useful if the person is always working at the same location, for example. Any delivery addresses not checked will not be available for selection when creating the order.
If an employee cannot choose a delivery address, they need to check it here. If no delivery addresses are checked, the employee can always choose from all addresses when creating an order request.
