As a contract administration, how can I adjust a contract status and/or action?
As a contract administration, you can adjust the contract status and action per contract in the 'actions' section.
The contracts that can be found in the 'actions' section are the contracts with the status 'pending with an employee' or with the status 'pending with contract administration'.
Change Status
When you click on a contract to edit it, you can open the dropdown in the status field, select the desired status, and then save the contract to save the changes.
Below, the meaning of each status will be explained, along with its impact on the contract.
- Active
A contract is under assessment by an employee. As contract administration, you may notice that the action moment was set too early, and the contract doesn't actually need to be assessed yet. Through this process, you can change the action moment to the future and set the status back to active. The pending action to assess the contract will no longer be applicable, and the contract can then be found in the archive. The proposed contract period will also be removed.
- Definitively disapproved
A contract is under assessment by an employee. As contract administration, you already know that this contract has been entered incorrectly, and therefore, the contract can be definitively disapproved through this method. The pending action by the employee will be canceled as a result.
- Terminate immediately
A contract is under assessment by an employee. As contract administration, you already know that this contract is going to be terminated, and therefore, the contract can be immediately terminated through this process. The pending action by the employee will be canceled as a result.
Change action
When you click on a contract to edit it, you can open the dropdown in the action field, select the desired action, and then save the contract to save the changes.
Below, the meaning of each action will be explained, along with its impact on the contract.
- To Assess
As contract administration, you see that a contract has the action 'to terminate,' and you have doubts about whether this is correct. Through this process, you can change the action to 'to assess' to allow the contract owner to assess the contract again.
- To Extend
As contract administration, you see that a contract is linked to the wrong action (to terminate). Through this process, you can change the action to 'to extend.' The pending action 'to terminate' will be completed, and a new contract period will be created because the contract is going to be extended.
- To terminate
As contract administration, if you notice that a contract is associated with the wrong action (e.g., to extend instead of to terminate), you can change the action to the desired one (e.g., to terminate). However, please note that changing the action will not remove the newly created contract period. If a new period is not desired, you can choose to offer the contract for review to the contract owner again. You can do this by changing the status back to "Pending with an employee" or by using the review process, as explained below.
Cancel contract extension
If a contract has been extended prematurely or incorrectly, you can also evaluate the contract from the Actions menu. By using the "Cancel Extension" button, you can undo the extension. The proposal for the new contract period will be removed, and the contract owner will be assigned an action again to either extend or terminate the contract. This action can also be performed at a later time.
