Encoding options per employee

In the optional menu Application Management / General / Coding Options, you'll find an overview of employees who have the rights to code purchase orders and/or externally code invoices in the Invoice Processing module. In this menu, you can link specifications such as cost centers and general ledgers to an employee. By making these links, you can restrict an employee's choice of specifications when coding, helping them make the correct coding choices.

Don't see this menu? Check if it has been added to your rights set. If you still don't see the option there but are interested, our Support department can activate the menu.

Assigning Coding Options

Employees with rights for financial coding in the Procurement module and/or rights to externally code invoices are listed on the overview page. This does not include employees of the financial administration with full rights to code in the Invoice Processing module. They can always code invoices on all projects, cost centers, and general ledgers.

Click on an employee's name to edit the settings for that employee. Here, you indicate for each specification whether a limited list applies:



If you impose a restriction, you must indicate which specifications the employee may choose when coding. If you don't do this, your employee won't be able to choose any specifications when coding.

By clicking on the three dots at the end of a line for an employee, you can create the correct links for the specifications that you have restricted for that employee.



Once you've set this up for one employee, you can copy the same set of specifications to other employees by clicking on the three dots. Now click on 'Copy' and choose which specifications you want to copy and then which other employees will have the same settings.

This menu does not affect the Cash & Card module. For that, you use specifications per book.
