With the Spend Cloud, it's possible to schedule automated imports. In the overview under the menu section 'Import Planning', you can find when scheduled imports will be executed, and you can add new import schedules or edit existing ones. The following data, for example, can be automatically imported: creditors, general ledger accounts, cost carriers, cost centers, and employees.
Adding an Import planning
If you want to add a new import planning, click on the 'Add' button at the top. You can also use the "Copy" button located under the three dots all the way to the right. This can have the advantage that some empty fields, as shown in the image below, are already filled in.
Next, you'll get the following screen where you can enter or modify the different data.
- Name
First, you can provide a name for the import planning. If it's, for example, a creditors' import, you can name it 'Creditors'.
- Time & Days of the Week
Next, you can choose a specific time and indicate on which days the automatic import should take place.
- Import Definition
In the import definition field, you can specify the type of import it is. For instance, this could be a creditors' import.
When selecting the import definition, you can often already see the type of import it refers to. This is frequently indicated in the name with words like 'Webservice', 'Connector', or 'CSV'.
Is it a Webservice or Connector? In that case, after saving the new import plan, you don't need to do anything further, and the import should start at the set time.
- File Name
If it's a CSV or Excel file, you also need to enter the respective file name:
Because we need to retrieve the CSV or Excel file from our server and this is done via sFTP or SCP upload, you should contact our support department after saving the import.
- Administration
If you use multiple administrations and the data is fetched per administration, you can choose 'as selected' and define an administration. If the administration is already included in the file or in the webservice, then you can choose 'From file' and you don't need to specify an administration.
- Receiving Reports
It's possible to receive a report for the import. In the report, you can, for example, see how many new creditors have been imported. If you want to receive a report for an import, you can provide your email address and select 'Every import'. If you only want to receive reports for failed imports, you can choose 'Failed imports'. If you don't want to receive any reports, then you choose 'Never'.
Afterward, click the 'Save' button, and you will see in the overview that the import planning has been successfully added.
