Linking a book to cost types and cost centres

In the "books" section (Application management / Cash & Card / Books), you can manage bank, cash, and card books and establish associations. A book needs to be linked with cost types, cost centres and optionally cost units. Transactions in the book can then be coded based on these associations.


At the end of a line representing a book, you can click on the three dots and choose the options ''Link cost centres'', "Link cost types'' and optionally ''Link cost units''. By linking only the relevant cost centres and/or cost units and/or cost types to the book, you limit the selection list for users. This way, users can quickly code transactions.



Checking Default Values


In the overview of the cost centers/cost units to link, besides checkboxes, there are also radio buttons. By selecting both the square and the circle next to it, you can indicate that this cost center/cost unit should be the default value. This cost center/cost unit will then be automatically filled in for a transaction in this book. If necessary, this can still be adjusted during the booking process.

When linking cost centers to a book, don't forget to always tick a default cost center as well. This is necessary to complete the closing entry of the export for a period. If you omit this step, exporting a period could result in an error message from your financial package.



By copying, you can create a duplicate of a book. All settings within the fields are carried over, but not the associations. This allows you to easily change a name and some settings without having to refill all the fields for a new book.

By copying links, you don't have to reselect the list of cost centers, cost types, or cost units each time. You can find the option to copy links by clicking the three dots at the end of a book's line. You can choose which association (depending on the setup, you might also have options like client groups, custom fields, or VAT) you want to copy to other books. After clicking 'doorgaan' (continue), you can select the books where the copied association should be applied.

New Design

This menu (Application Management / Cash & Pas / Books) will soon look different, see the image below. In the new menu, you can add or remove columns in the overview using the gear icon. Additionally, you can apply various handy filters on the right side, as you might already be familiar with in the Archive of Cash & Pas. Don’t see a filter? First, check via the gear icon at the top right, where it says 'Edit Filters', to see if you can manually add the filter; it’s likely that you can.
