Changing an order at or through Jumbo and Albert Heijn

If an ASI integration has been set up with suppliers Jumbo or Albert Heijn, you can place orders from the Spend Cloud in the webshop of either of these two supermarkets and still modify them after placing. That is the essence of a so-called ASI order: you can still make changes to it after sending it to the supplier until a certain point. That's the difference with an OCI order; these cannot be modified after placement.

Creating a New Order

Through Procurement / Requests, you click on the tile of either Jumbo or Albert Heijn under 'Webshops'. If necessary, you may need to select a delivery address first, and then you'll be redirected to the webshop of the supermarket.



In the webshop, you can utilize all the functionalities offered by the supermarket. This includes the entire online assortment, existing favorites lists, and various weekly, seasonal, and no-order-cost offers. Once all the desired products are added to the shopping cart, you proceed to the cart and complete the order. Subsequently, the purchase order is sent to the Spend Cloud.

Placing the order

The order is now in the shopping cart in the Spend Cloud. Depending on the configuration in Spend Cloud, additional information may need to be added to the purchase order. You can adjust the 'desired delivery date' field here, but the moment you selected in the webshop will be decisive. Once a purchase order is complete, you can send it. Usually, it goes directly to the supplier (which we recommend), but it may need to be reviewed by someone within your organization first, such as your manager. You can track your order via the Orders menu and/or the Archive menu. Only when all order lines are approved will the order be converted into a purchase order with the supplier.

Modifying a placed order

After placing an order, it's possible to make changes to the order. This includes adjusting quantities and removing products. However, changing the location, day, or time slot is not possible. To modify an order, you can click on the three dots at the end of the line for the respective order in the Orders section and choose "Modify in webshop".

An order can only be modified if the deadline for changes has not yet passed. This deadline is the moment when Jumbo or Albert Heijn no longer allows changes to an open order. The option to modify the order will then be displayed in light gray.


After selecting the option "Modify in webshop," you can proceed to modify the order. This includes increasing or decreasing quantities, or completely removing products.

By modifying the quantities, it's possible that certain promotions may no longer apply. For example, if 5 products are required for free delivery and one product is removed, the promotion will no longer be valid and will not be applied.

Once the changes have been made, you can send the modifications to the Spend Cloud by using the "Save Changes" button. Your changed is order is now automatically confirmed when you return to the Spend Cloud, however you may still need to enrich the coding of new order lines, or existing order lines in Spend Cloud.

You can also cancel an order using the "Modify in webshop" option. However, this cancellation will only be processed by Jumbo or Albert Heijn. The order will not be fulfilled but will remain open in the Spend Cloud. You will not return to the Spend Cloud and will need to manually cancel the order there.

Order changes from Jumbo or Albert Heijn

It may happen that the delivered groceries differ from the initially placed order. This could include added/returned bottle deposits, shortages, replacement products, and/or delivered quantities. Jumbo or Albert Heijn can then modify the existing order in the Spend Cloud. There are two scenarios for this:

Scenario 1: The supplier modifies an existing order line. In this case, no specific actions are expected. The person registering the receipt of the delivery can verify the supplier's changes at that time.

Scenario 2: The supplier adds a new order line. In this case, the coding for the new order line is still empty. This information is necessary for automatic matching with the invoice.

The responsible employee will receive a notification to complete the coding in the Spend Cloud. The order can be found in the "Orders" overview with one of the following statuses*:

  1. To be received, to be completed (if not yet received)
  2. Received, to be completed (if already received) Go to 'Edit order' to fill in the missing data.
Once you have completed the coding and saved the order, the order will have one of the following statuses*:
  1. To be completed (if not yet received)
  2. Received (if already received)
This update will be automatically applied, and as a result, the ultimately delivered order will be visible in the Spend Cloud. A notification will be displayed for the order in the Spend Cloud when the supplier makes a change. The mutation overview shows in detail which changes have been made. The total quantities (total price) can then be used in matching with the invoice to be received.

The order has been received

All orders to be received can be found in the "Receipts" menu section, but they can also be found in the "Orders" section. Registering a receipt makes it clear which orders have actually been delivered. You can also register the receipt of an order in the app.
