In the Archive menu, accessible via Claims / Archive, you will see a comprehensive overview of all created claims. Of course, it's possible that you have limited rights and cannot view all users' claims. As an administrator, however, you will be able to find all claims here.
Using the selection options on the left, you can generate various overviews of the expense claims. At the top of the overview, you'll find the option to export your expense claims to an Excel or CSV file. You can also create a PDF. This can be useful if you want to store the expense claims on your computer, for example.
An expense claim always consists of a header and one or more lines. By clicking on the 'Archive at line level' button, you'll get an overview of all the expense claim lines. The expense claims are then no longer grouped by period.
Generating Reports
In the archive, it is possible to generate an export in CSV, Excel, and/or as a PDF file.
By using the filters on the left side and viewing the archive at the line-item level, you can obtain more desired data from Spend Cloud. For example, you can retrieve the number of kilometers traveled by an employee within a specific period. This information can then be used for compliance with the Dutch law (effective from July 1, 2024) on Reporting Obligations for Work-related Personnel Mobility (WPM). When you generate an export at the line-item level in the archive and use the desired filters (such as period, date, and employee), you can find the number of kilometers in column AE.
