The notification emails within the Spend Cloud - Contract Management
In the Spend Cloud, the configuration settings for the contract management module can look like this:
Below, an explanation will be provided of the email notifications sent out from the Spend Cloud within this module. It is not possible to disable these notifications on a per-user basis.
An employee will only receive one notification email per day as long as they do not log in to the Spend Cloud. If the employee logs in after receiving a notification and then logs out, the counter is reset. If the employee is assigned new pending actions on the same day, they will receive a new notification email. However, this only applies to pending actions (and reminders for them). Other notifications are tied to specific actions and will always be sent regardless. - Pending Actions for Contracts
If new pending actions are ready for an employee to complete, the employee will receive a notification email. For example, this might occur when a contract owner needs to take action on a contract. The notification email includes a link to the dashboard. On the dashboard, the contract owner can see which contracts require action. If the employee has not yet logged into the Spend Cloud, they will only receive one notification email (to avoid cluttering the inbox).
- Reminder: 'Pending Actions'
In addition to standard notification emails, you can set the frequency of reminder emails for pending actions. In the example above, the configuration sends a reminder email one week after the original email (up to a maximum of 4 weeks) for any pending actions that have not yet been completed. (This may differ from the settings in your Spend Cloud environment.)
- Contract Notification Date Email to Owner (Per Action)
If you are the owner of a contract, you will receive a notification email when the specified date for an action is reached. This notification is tied to the specific action and will always be sent to the contract owner of the relevant contract.
- Contract Notification Date Email to Stakeholders (Per Action)
If you are linked to a contract as a stakeholder, you will receive a notification email when the specified date for an action is reached. This notification is tied to the specific action and will always be sent to all stakeholders of the relevant contract.
- Contract Processing Email to Owner (Per Action)
When the status of a contract changes, the contract owner will be notified via an email. The email will also include the date when the change takes effect.
- Contract Processing Email to Stakeholders (Per Action)
If a contract is indicated to be extended or terminated, stakeholders will receive a notification email when the change takes effect.
- Contract Registration Email to Stakeholders (Per Action)
When a contract is registered, stakeholders will be notified via an email. The email will include the date when the contract became active.
- Contract Registration Email to Owner (Per Action)
If your Spend Cloud environment is set up to allow contracts to be submitted for registration to a contract owner, the owner will receive a notification email about this action.
- Opinion Requested (Per Action)
This notification informs the user about a specific contract for which a colleague has requested their opinion. In most cases, a response from the employee is expected.
- Response to Requested Opinion (Per Action)
If you, as a user, have requested an opinion in the contract module, you will receive a notification when a response to your request has been provided.
