Verify Expense claims

After an expense claim has been fully approved through the approval process, there is an option to perform a final check before it proceeds to the export section. This component is optional and can be skipped.

If you wish to enable or disable this functionality, you can contact our Support department (application managers only).

Overview

In the 'Verify' section, employees can Verify and edit expense claims. If this section is enabled, a checkmark can be set in the permissions of employees who need access to this section under 'Expense claim / Verify'.

Overview of the Verify Menu


From the overview, there is an option to edit an expense claim directly by clicking on the pencil icon. This allows for immediate adjustments to a specific expense claim if necessary. Often, there is a need to review only certain expense claim (e.g., claims above a certain amount). In this case, the employee can choose to review only this selection of expense claim and then Verify the rest of the claim at once. This can be done by selecting the checkbox next to "Expense claim Number" in the overview and then choosing 'Process Review'.

Verifying

An expense claim can be Verified by clicking the hammer icon, as shown in the image above. In the subsequent screen, you have the option to expand all the details and verify their accuracy. If an expense claim is found to be incorrect, an employee has the following options:
  1. For incorrect coding, the expense claim can be edited (note: the amount can not be adjusted!)
  2. For incorrectly submitted expense claim line(s) or incorrectly entered amounts, the expense claim line(s) can be rejected or even deleted.
  3. If there is any uncertainty or for any reason, an opinion can be sought.
Options During Review

Once the expense claim has been deemed correct after the review, the employee selects "Reviewed," and the expense claim will proceed to the 'Export' section.
