Adding users: information about the message "The email address is already in use by another user"
When adding a user in the Spend Cloud, you also need to provide an email address. This email address will be used for receiving notifications, and it also serves as the login credential. It is always important that an email address does not already exist in your Spend Cloud and is therefore unique to each user.
If you add an employee whose email address already exists under another user account, a notification will appear: The email address is already in use by another user.
In that case, you can check which user account this email address is already linked to. You can do this as follows:
1. Enter the relevant email address in the Email address field. Make sure you type the address correctly.
2. Under Show, click All.
3. Now click Select in the top left corner.
The corresponding user profile will appear. If it is displayed in light grey, this means it is a passive user account. Even with a passive account, the email address may not already exist when adding a new user. Depending on the desired situation, you can delete this user account, change the email address associated with it, or reactivate it.
We often see that application administrators forget to set Show to All when searching by email address. As a result, it may appear that no user account exists with the relevant email address, while in fact it does. So always make sure to do this when searching for a specific user and/or email address.
