In Spend Cloud, it is possible to use G-accounts for creditors and invoices. If the G-account functionality is enabled for your Spend Cloud environment, you can set up a G-account and a percentage for a creditor. For an invoice from this creditor, additional fields for the G-account will then become visible in the header of the invoice. In these fields, you can specify a G-account amount and a G-account percentage. Importing and exporting G-accounts is not supported by every financial package. Read the section below about which packages support this and what is required to implement this.
Setting Up and Using G-Accounts
If G-accounts are enabled for your Spend Cloud, you can set up a G-account for a creditor and optionally specify a fixed percentage. Go to Application Management / General / Relationships and display the relationship via the 'Magnifying glass' button. Scroll down and add a new bank account using the + button.
Choose the type of G-account and enter the account number.
Once a G-account number is defined for a relationship, additional fields for the G-account will also be visible in the header of the invoice during the coding of invoices. When editing the creditor, it is also possible to specify a default percentage for the G-account. You can enter this in the following field.
This default percentage will then be automatically applied to invoices from the respective creditor. Based on this percentage, a G-account amount will also be filled in the header of the invoice.
Of course, it is possible to adjust the amount and/or percentage when coding the invoice.
Possibilities per financial package
Not all financial packages support importing G-accounts and exporting amounts to be booked to a G-account in combination with Spend Cloud. Below you can read which packages support this and what is needed to set it up. If you are working with one of the packages listed below, you can contact the support department to enable the G-accounts settings in Spend Cloud. First, review the information about your financial package below. For some packages, it is important that it is set up correctly in your financial package first.
AFAS
Exact Financials
There are no additional instructions for setting up G-accounts in combination with Exact Financials. Once you have set this up for the creditors in Exact Financials, you can request our support department to enable the setting for this. It is important that the import definitions for creditors are adjusted immediately afterward, as the fields may have shifted.
Exact Globe
It is not possible to import G-accounts and percentages from Exact Globe. You can manually add the bank account to the relationship in Spend Cloud and set a G-account percentage. This account must then correspond to the account set for the creditor in Exact as a G-account. When you book an invoice on G-account, the booking will be split upon export and part will be booked to the G-account.
Exact Online
It is not possible to import G-accounts and percentages from Exact Online. You can manually add the bank account to the relationship in Spend Cloud and set a G-account percentage. This account must then correspond to the account set for the creditor in Exact as a G-account. When you book an invoice on G-account, the booking will be split upon export and part will be booked to the G-account.
