Spend Cloud is continuing as Elari, and with it comes a new domain: elari.nl. This also affects the Mailbox, because invoices and contracts are usually forwarded or redirected automatically from your own e-mail address to the mailbox address. This article explains what you, as application or IT administrator, should check and change in your own mail environment.
Do not wait to make this change. The current mailbox address on @invoice.spend.cloud keeps working for now, but it will be phased out in due course. Switch your forwarding and redirect rules to the new address now; we will let you know well in advance when the old address stops working. The new addresses have been working since 1 September 2026, so you can arrange this before 1 October 2026.
What changes
- Your environment gets an additional mailbox address on the new domain: customername@invoice.elari.nl, where customername is the name of your environment.
- This also applies to the Mailbox of the Contract Management module. That mailbox gets an address on the new domain as well: customername@contract.elari.nl, alongside the existing customername@contract.spend.cloud.
- The existing addresses customername@invoice.spend.cloud and customername@contract.spend.cloud keep working for now: e-mails sent there still arrive in the same Mailbox. These addresses will be phased out in due course, so make the switch in good time.
- E-mails sent by Elari itself (notifications, password e-mails, orders) come from the elari.nl domain instead of @spend.cloud as of 1 October 2026.
- The new mailbox addresses on invoice.elari.nl (Invoice processing) and contract.elari.nl (Contract Management) have been working since 1 September 2026. So you do not have to wait until 1 October 2026: you can switch your forwarding and redirect rules now.
Checklist for administrators
- Take stock of your forwarding and redirect rules. Check which internal addresses send messages to the Mailbox — for example invoices@yourorganisation.com, or a separate address per administration. If you also use the Mailbox for Contract Management, include those rules.
- Point the rules to the new address. Change the destination address to customername@invoice.elari.nl, and for contracts to customername@contract.elari.nl. Keep using redirect rather than forward, so the original sender and subject are preserved. See also Gmail settings for automatically forwarding to the Mailbox.
- Check that outgoing traffic to elari.nl is allowed. Organisations with strict settings sometimes only allow forwarding to a fixed list of external domains. Add elari.nl there, along with any DLP or transport rules that were set up for spend.cloud.
- Add elari.nl to your trusted senders. This makes sure the e-mails Elari sends to your users arrive as well. The steps for Microsoft 365, Google Workspace and other spam filters are in E-mails from Elari are not arriving: what you can do.
- Test with a single e-mail. Send a message with a PDF attachment to your own address and check that it appears in the Mailbox under Invoice processing / Add, with the correct sender and without “FW:” in the subject. Only then switch over the remaining rules.
- Update your documentation and internal agreements. Think of work instructions, an intranet page, or the text you send to your suppliers.
- Did you ever give suppliers the @invoice.spend.cloud address directly? Ask them to switch to your own invoice address (for example invoices@yourorganisation.com), so you do not depend on an address that will disappear in due course.
What you do not need to change
- The receiving and sending addresses you registered in Elari for automatic processing and administration assignment (Application management / Invoice processing / Mailbox). These refer to your own e-mail addresses and keep working as they are.
- The e-mail addresses you have given to your suppliers, as long as these are your own addresses (for example invoices@yourorganisation.com). Your suppliers will not notice the change.
- The setup of the Mailbox itself: the filters, the automatic processing and the steps in your process do not change.
Messages not arriving?
First check the spam filter logs or the quarantine of your mail server for messages from or to elari.nl, and check whether the redirect rule is allowed to send attachments to external addresses.
