Maintaining control over Spend Cloud Cards in combination with Apple Pay

When the user owns an iPhone, it is possible to add a Spend Cloud Card to the wallet of their phone. This functionality is only available for iPhones (and possibly also for iPads or Apple Watches). This allows payments to be made in-store using the device instead of the physical card. This is done through Apple Pay. In some cases, it is also possible to make online payments via Apple Pay.

In this article, we explain how, as an application administrator or financial administrator, you can easily maintain insight and control over who can make payments with Apple Pay.

How the user adds the card to the wallet and pays via Apple Pay can be found here.

How do I ensure that a user can add their Spend Cloud Card to their device and pay with Apple Pay?

There are three requirements that must be met to enable the user to use Apple Pay through our app.

1.) The user must be marked as a cardholder.
To do this, in the user's role, go to Application Management / Organization / Roles, and edit the relevant role. Set the option 'Cardholder' to 'Yes':

The user now sees the card in the app.

2.) The user must be marked as the 'responsible card owner'.
To do this, go to the card settings via Application Management / Cash & Cards / Card Management. Edit the card by clicking on it and select the employee as the responsible card owner:

Save the page.

3. The user must use the Spend Cloud App.
The card can be added to the wallet via our app. The user can find the instructions for this here.

If the above three options are met, the user can add the card to their wallet via our app and use Apple Pay.

Linked Devices

To check if a card has been added to a device for payment with Apple Pay, navigate in Spend Cloud to Application Management / Cash & Cards / Card Management. Edit a card by clicking on the pencil icon, and then click on 'Linked Devices'. At the bottom of this page, you can see the devices to which the card is linked for Apple Pay payments. You can always choose to remove the card from this person's wallet by clicking on 'Remove'.

Frequently Asked Questions

Why can't the user add the card to their wallet within the Spend Cloud app? Only users registered as both 'cardholders' and 'responsible card owners' have the option to add the card to their wallet.

Can anyone who wants to add a specific card to their wallet? No, only the person registered in Spend Cloud as the responsible card owner can add the card to their wallet. In the process of adding the card, there is a step where the responsible card owner receives an email with a code required to add the card. This code is only sent to the responsible card owner. Any random person trying to add the card to their wallet will not receive a code and thus cannot complete the process.

Where can the user make physical payments with Apple Pay?
You can make payments via Apple Pay wherever you see symbols for contactless payments, such as the following:

In the Netherlands, this is possible in almost every store where you can use a debit card.

How are the expenditures processed?
The expenditures are processed in exactly the same way as a 'normal' debit transaction. The payment is recorded in the cardbook and can then be coded. The amount is deducted from the cardbook balance.

Is this functionality also available for Android devices, such as Samsung?
No, this functionality is only available for iPhones. Unfortunately, we cannot provide any information about future developments for Android at this time.
