In the 'Groups' menu within the application management of the Procurement module, you can manage delivery and receipt groups. In this article, we explain what these groups are and how to manage them.
Receipt Groups
A receipt group is a group of employees who can
register the receipt of an order in Spend Cloud. Working with a receipt group is useful, for example, when several employees work at one location. Then, one of the people in this group can receive the order.
When creating an order in the 'To Be Received By' field, the purchaser selects one specific person or a receipt group. The order is then presented to everyone in this group for receipt registration. If one person records the receipt, the receipt action disappears for all employees in the group.
Delivery Groups
A delivery group is a group of employees who can deliver centrally purchased items, which may have been stored in a warehouse, for example. In Spend Cloud, this typically involves internal suppliers. Instead of presenting the order to an external supplier, Spend Cloud generates an action for the delivery service associated with the internal supplier. These actions are collected in the '
Delivery' menu section. All employees included in the delivery group receive a notification email about the request and can then record in Spend Cloud that the goods have been delivered.
Adding a Group and Linking Employees
To manage groups, go to Application Management / Procurement / Groups. You can create a new group by clicking the 'Add' button at the top of the group overview. After specifying a name for the group, you can select the type of group.
Once you have created a group, you can link employees to the group from the overview. You can do this by clicking on the 'Link Employees' icon at the end of the desired group's row.
In the subsequent overview, you can select the employees to add to this group. Unchecking the checkbox allows you to unlink an employee.
You can always change the name and composition of a group by clicking on the pencil icon at the end of the row for the desired group from the overview.
