Confirm online payments with a Spend Cloud Card in the app
When you have a Spend Cloud Card and want to make an online payment with it, you need to confirm the payment through the Spend Cloud app. This additional security method must be activated per card in the Spend Cloud app before you can make online payments. Attention! Previously, online payments could be confirmed via SMS with a password. This is no longer possible. If an online store asks for a password during payment, or if you receive an SMS with a code or password, you can no longer use these to confirm the payment. Follow the steps in this article to activate online payment confirmation in your Spend Cloud app.
Enabling online payment confirmation via the Spend Cloud app
A Spend Cloud Card can only be linked to one device. This can only be done by the employee designated as the liable cardowner by the application manager or financial administration. Only
one liable cardowner can be set per Spend Cloud Card. If you do not see the Spend Cloud Card in the app or do not see the button to activate online payment confirmation after following the steps below, contact your application manager and/or financial administration.
Before you can activate online payments on your Spend Cloud app, make sure the following settings are enabled on your device:
- You have an access code/unlock code or pattern for unlocking your device, or you use an additional method such as fingerprint scan or facial recognition. If you installed the Spend Cloud app on your Android phone in a work profile, fingerprint scan or facial recognition may not be possible, and you must use an access code to unlock.
- You have enabled push notifications for the Spend Cloud app within your device’s settings. Not sure if this is the case? Check this and read more about how to do this in the article: Set up push notifications for the Spend Cloud app.
To set up online payment confirmation, follow the steps below. If you already have the Spend Cloud app on your phone and have logged in before, go directly to step 2.
- Download and install the Spend Cloud app from the Apple App Store or Google Play Store. Read more about the first login process in the app in the following article after installation.
- Tap on the Spend Cloud Card for which you want to activate online payment confirmation on the dashboard. Do you have multiple cards? Swipe left until you see the desired card.
- Don’t see any cards on your dashboard? Click the menu icon at the bottom right. Then click on Books under Cash & Card. Tap on the desired book.
- Tap on card details and select the desired card number if you have multiple cards.
- Don’t see your card or can't select the book to which your card is linked, or don’t see any books at all? Your role or card might not be properly linked. Contact your application manager or financial administration to resolve this. At the end of this article, we explain what an admin can do to ensure you can see your card and/or book.
- Depending on the status of your card, you may see different screens. Follow the relevant steps for your situation:
- Your card is active, and you see the message 'Want to shop online?' with an 'Activate' button at the bottom right of the message.
- Tap the 'Activate' button. Then, in the new screen, click 'Activate now' or 'Show how it works'. In the latter case, follow the steps and tap 'Activate now' at the end.
- See an error message? Check if you have enabled an access code for your device. Note: This is not the code for your SIM card but a code for unlocking your phone when it is on.
- Your card is active or requested, and you see the message 'Received a (new) card?' with a 'Start' button at the bottom right.
- Tap the 'Start' button. Read the information and tap 'Activate' to activate your requested card or 'Next' to proceed to the next step.
- Review your payment methods and limits. Tap 'Next' again.
- Check the countries where it is allowed to use your Spend Cloud Card and tap 'Next'.
- Tap the 'Activate' button to enable online payments.
- See an error message? Check if you have enabled an access code for your device. Note: This is not the code for your SIM card but a code for unlocking your phone when it is on.
- Your card is active, and you don’t see any of the messages in step 3.a or 3.b
- Scroll down and tap 'Payment methods and limits'.
- Tap the message 'Activate online payments on this device'. Then, in the new screen, tap 'Activate now' or 'Show how it works'. In the latter case, follow the steps and tap 'Activate now' at the end.
- See an error message? Check if you have enabled an access code for your device. Note: This is not the code for your SIM card but a code for unlocking your phone when it is on.
- See the message 'Deactivate online payments on this device'? Online payments are already enabled for this card on your device. Can't confirm an online payment? Tap this message as a precaution and repeat the activation process for online payments. Also, ensure that push notifications for the Spend Cloud app are correctly set up on your device.
- Do not see any of these messages and/or don’t see Online Payments among the payment methods? Contact the application manager, financial administration, or your organization's contact person. At the end of this article, we explain what an admin can do to ensure you can activate online payment confirmation in the app.
- Your card is blocked
- If your card is temporarily blocked, you cannot make payments or activate online payment confirmation. Unblock the card or contact your application manager, financial administration, or your organization's contact person.
How does confirming online payments via the app work?
When you make an online credit or debit card payment, the webshop checks, during the payment process, whether you are authorized to make the payment. Therefore, you need to confirm the payment through the Spend Cloud app on your phone. Currently, it is only possible to link one phone per card.
When you make the online payment, you need to confirm it through the Spend Cloud app before completing the transaction. When you open the app, you will see a pop-up screen that looks like this:
Confirm the payment here. Of course, only do this if you are indeed the person making the payment. Never confirm anything you are not aware of. After confirmation, this information is transmitted to the webshop, and your payment is finalized there. Ultimately you can justify your payment by encoding the entry in the Spend Cloud app.
Sometimes an online payment can be done without the need to confirm this. Webshops can decide whether they enforce 3DS and can apply their own rules, for example by not enforcing a confirmation with payments under €35.
For Application Managers: Troubleshooting Activation of Online Payment Confirmation in the App
If a cardholder is unable to activate online payment confirmation in the app, follow these steps to resolve the issue.
- Check the Card Settings
- Edit the card under Application Management / Cash & Card / Card Management. Ensure that "Online payments" is checked under payment methods.
- Verify that the user is listed as the responsible cardholder. If the user is not, fill in this information. If you cannot assign the user, check whether the user has the "Cardholder" option enabled in their role.
- Remember which book the card is linked to. Next, go to Application Management / Cash & Card / Books. Locate the book and note which organizational unit it is linked to. Then navigate to Application Management / Organization / Roles and check if the user has a role in this organizational unit. If not, assign a role to the user here. If they already have a role, edit it to ensure "Cardholder" is set to "Yes". After making this change, assign the user as the responsible cardholder.
- Check Linked Devices
- Online payments can only be set for one device. When editing the card in Card Management, select "Linked Devices" at the top of the screen. If a device is already listed, online payments are configured for that device. When a card is linked to another device, it is automatically unlinked if online payments are set up on a new device via the app. If the user still cannot link their device, remove the already linked device using the trash icon. Ask the user to force close the Spend Cloud app and follow the steps again as outlined from step 3 above.
- If linking is successful but the user does not receive push notifications? Check with the user to ensure that push notifications on their device are correctly set up. For more information, refer to this article: Setting up and testing push notifications in the Spend Cloud app.
