General improvements to the Spend Cloud

Managing web service tokens

With the new "Webservice Tokens" menu, managing access tokens is now much simpler. Previously, administrators had to contact Spend Cloud support to remove expired tokens. Since 2024, administrators can delete expired tokens themselves, automatically triggering a message to retrieve a new token. Learn more here.

Redesigned automated emails (notifications)

Automatically generated emails, such as password reset requests, now feature a completely updated design in the Spend Cloud's sleek corporate style. The content has also been optimized: subjects and text are clearer and more direct. Additionally, these emails include direct links to relevant parts of the Spend Cloud. Changing your Spend Cloud environment name and URL

You can now independently change the name and URL of your Spend Cloud environment (e.g., https://[environment-name].spend.cloud/). This is especially useful after organizational name changes, such as mergers. Discover how in this DIRK article.

Procurement module enhancements

Reversing completed orders

Since 2024, orders marked as "Completed" can be reversed. Previously, this was not possible, sometimes causing issues with mistakenly completed orders. Thanks to user feedback, this can now be easily undone. Learn how here.

Service order requests

The updated service order feature makes ordering services and tasks more flexible and accessible. With an improved design, the process is clearer and more user-friendly. You can also submit a service order without finalizing all the details upfront.

Viewing orders that have not yet been submitted

You can now see which orders are still in shopping carts in the procurement archive. Developed based on community feedback, this feature provides greater insight and control over outstanding orders. Read further details in this DIRK article.

Insights into cart orders

With this functionality, procurement managers, requesters, and staff with the "Archive View Extension" setting can access all cart orders within the same organizational unit. This improves collaboration and simplifies oversight.

Enhancements to Invoice Processing

Smarter text recognition with Smartscan

Smartscan, an AI-driven technology, speeds up and simplifies the processing of PDF invoices. Whether an invoice is manually uploaded or received via the mailbox, Smartscan automatically extracts all relevant data and fills it into the coding menu. Matching purchase orders

When an invoice cannot be automatically approved due to a discrepancy, the "Employee" field on the invoice line is now automatically populated. The employee who placed the order (and is authorized to approve invoices) can review and assess the invoice themselves, saving time for the finance department.

New AFAS export format

The new AFAS export format supports transitory bookings, enabling more efficient invoice processing. While the web service connection remains unchanged, this export format offers enhanced functionality for period distribution, easily activated in application management.

Practical enhancements

Several practical optimisations were introduced:
  1. Easier requests and activation of new Spend Cloud Cards via the app
  2. Faster notifications about successful or failed payments
  3. Insight into upcoming card loads via the app
  4. Improved filter options for card numbers
  5. Simplified PIN code changes with an efficient step-by-step process

New look-and-feel for the card management overview

The card management overview received a design refresh in 2024, along with additional convenient features:
  1. Manage multiple cards simultaneously without switching screens (e.g., to enable online payment options).
  2. Apply multiple filters at once, reorder items, and add new columns for better overview.
  3. View extra information at a glance, such as payment methods and limits, directly in the overview
